Your emails aren't getting bounced because of bad luck. They're getting bounced - or worse, landing in spam - because of specific, fixable infrastructure problems that most people don't bother setting up correctly.
Here's the reality: you can write perfect cold emails and still get a 15% bounce rate and 8% spam placement rate if your sending infrastructure is broken. Most people focus entirely on copy and subject lines when the real bottleneck is technical.
If your deliverability is below 92% inbox placement, the problem isn't your email. It's your domain, your sending volume, your DNS records, or your IP reputation. Let's fix that.
Set Up SPF, DKIM, and DMARC Correctly (This Matters More Than You Think)
Gmail, Outlook, and every other major email provider check three things before deciding if your email is legitimate: SPF, DKIM, and DMARC. If any of these are missing or misconfigured, you're already starting at a disadvantage.
SPF (Sender Policy Framework): This tells email providers "these servers are allowed to send emails from my domain." If you're using a tool like lemlist, Instantly, or Apollo, you need to add their servers to your SPF record.
Your SPF record should look like this:
v=spf1 include:sendgrid.net include:mailgun.org include:_sendgrid.net ~all
The key part: include statements for every service you're using. If you're sending from three different platforms, all three need to be in that SPF record. Missing one? Your emails from that service get flagged.
DKIM (DomainKeys Identified Mail): This is a cryptographic signature that proves you actually sent the email. It's harder to spoof than SPF.
Most email platforms generate a DKIM key for you. You copy it into your DNS records. The setup is platform-specific, so follow your tool's instructions exactly. But here's the critical part: if you're rotating sending domains frequently, you need to set up DKIM for each one before you start sending.
DMARC (Domain-based Message Authentication, Reporting and Conformance): This is your policy enforcement layer. It tells Gmail "if someone fails SPF and DKIM checks, what should you do?" You have three options:
- Monitor (p=none) - just report violations, don't filter
- Quarantine (p=quarantine) - put suspicious emails in spam
- Reject (p=reject) - outright reject the email
Start with monitor mode while you're setting everything up. Your DMARC record should look like this:
v=DMARC1; p=none; rua=mailto:[email protected]; ruf=mailto:[email protected]; fo=1
Once everything is working, move to quarantine mode. Don't jump straight to reject mode unless you're 100% sure all your legitimate mail sources are authenticated.
Warm Up New Domains and IPs Gradually
This is where most people fail. They set up a brand new domain on Monday and start blasting 500 cold emails on Tuesday. ISPs see this and think "spam."
New sending infrastructure has zero reputation. You have to earn it gradually.
Day 1-3: Send 10-20 emails per day to your own email addresses and warm contacts (people who will actually open and reply). This establishes that your domain sends legitimate mail.
Day 4-7: Increase to 50-100 per day. Still mostly warm contacts.
Week 2: Increase to 150-200 per day. You can start mixing in cold emails, but keep them at 30% of your volume.
Week 3+: Scale up by 25-30% per day until you hit your target volume. Most people can safely send 200-500 per day from a single domain after 3 weeks of proper warmup.
The warmup sequence matters because ISPs track engagement. When they see high open and reply rates early on, they're more likely to whitelist your domain as you scale.
Monitor Your Domain and IP Reputation (Weekly)
Your reputation score isn't a mystery. You can check it.
Use these tools every week:
- MXToolbox - Check if your domain is on any blacklists (RBL, SURBL, etc.). If you're on even one list, your deliverability tanks. If you find yourself listed, most blocklists have a removal process that takes 24-48 hours.
- Google's Postmaster Tools - This shows Gmail specifically how it rates your domain. If you're seeing high spam rate (anything above 0.3%), something is broken.
- Microsoft SNDS - The Outlook equivalent. Shows you how Outlook rates your IP reputation.
If your spam complaint rate is climbing, stop sending immediately and figure out why. Spam complaints kill domain reputation faster than anything else.
Control Your Email Volume and Sending Patterns
Sending all 500 emails in one hour looks suspicious. Sending them spread across 6 hours looks normal.
Most cold email tools let you set a sending rate. Use it.
Target sending speed: 60-90 emails per hour per domain. That's about one email per 40-60 seconds, which looks like a human or a reasonable automation tool. Not a bulk blaster.
Also vary your sending times. If you send at 9 AM every single day, ISPs notice the pattern. Randomize within a 2-hour window. Send some at 8:45 AM, some at 9:15 AM, some at 9:50 AM. It matters less than you'd think, but it matters.
Use a Dedicated Sending Domain (Not Your Primary Domain)
This is non-negotiable. Do not send cold emails from your main company domain (like [email protected]).
If something goes wrong with your cold email reputation, you don't want it affecting your main business email. Create a subdomain specifically for outreach.
Instead of sending from yourcompany.com, send from outreach.yourcompany.com or sales.yourcompany.com. Set up SPF, DKIM, and DMARC for this subdomain independently. This way, if something tanks the outreach domain's reputation, your main domain stays clean.
Check Your Email Content and List Quality
Even perfect infrastructure gets hurt by bad email addresses and spam-triggering content.
List quality matters: If you're sending to 1,000 invalid addresses mixed in with 4,000 valid ones, your bounce rate is 20%. ISPs notice. They mark you as a poor sender. Use an email validation service before you send. Aim for addresses that are at least 95% valid.

Also check that your emails don't have obvious formatting problems. HTML emails with broken images, mismatched colors, or weird spacing get flagged more often than plain-text emails.
