Your Smartlead campaign just paused. You don't know why. You log in, see the pause icon, and now you're losing days of sending while you figure out what went wrong.
This happens more often than it should, and it's almost always fixable in minutes once you know what to look for. I've debugged hundreds of paused Smartlead campaigns, and the reasons almost always fall into a handful of categories. Here's how to diagnose and fix them.
The Most Common Reason: Bounced Emails Hit Your Threshold
Smartlead pauses campaigns when your bounce rate gets too high. The platform sets a default threshold, and once you hit it, the campaign stops automatically to protect your sender reputation.
Here's what actually matters: Smartlead typically pauses at a bounce rate around 5-7%, though this can vary based on your account settings. If you're seeing a pause, check your bounce rate first.
How to fix it:
- Open your campaign and look at the "Stats" tab
- Find the bounce rate percentage
- If it's above 5%, that's your culprit
- Click into the bounces to see which emails are bouncing
- Remove the hard bounces from your list (invalid domain, mailbox doesn't exist, etc.)
- Resume the campaign
The reason this happens is usually bad list data. If you're using Apollo or a similar tool to source emails, you're going to get some invalid addresses mixed in - that's normal. A 2-3% bounce rate is acceptable. Above 5%, you need to clean your list before you hit pause again.
Second: Spam Complaints Are Spiking
Smartlead also pauses campaigns when recipients mark your emails as spam. Unlike bounces, this one is less about list quality and more about what you're actually sending.
If you're hitting spam complaints, it usually means one of three things: your subject line is too aggressive, your email copy doesn't match the subject line, or you're targeting the wrong people entirely.
How to check:
- Go to your campaign stats and look for "spam complaints" or "marked as spam"
- Even 1-2 complaints in a 500-person campaign is a warning sign
- If you see more than that, pause and rewrite
For a cold email campaign, the benchmark is: you should have fewer than 0.5% spam complaints. If you're hitting 1% or higher, your copy or targeting is off. Here's the fix: rewrite your subject line and opening line to be more straightforward, and make sure you're actually solving a problem your prospect has.
A subject line like "Quick question about your marketing stack" is vague and triggers spam filters. Something like "Question about your current email provider" is specific and feels like a real conversation.
Subject: Question about your current email provider Hi [First name], I work with agencies like yours on their email infrastructure - saw you're using Klaviyo right now. Quick question: are you happy with the deliverability rates you're getting? I ask because most agencies we talk to are losing 15-20% of emails to spam folders, and we've built a system that fixes that. Worth a 15-min call? [Name]
This subject line is specific (not clickbait), the opening is personal (mentions their tool), and the ask is small (15 minutes). Spam complaints drop significantly when you write like this.
Third: Your Sending Infrastructure Is Flagged
Sometimes Smartlead pauses campaigns because your email domain or mailbox is having authentication issues. This is usually an SPF, DKIM, or DMARC problem.
How to check:
- In Smartlead, go to your account settings and find "Email Accounts" or "Mailboxes"
- Look for a warning icon or status indicator next to your sending email
- If you see a red icon or "authentication failed," that's your problem
The fix here depends on what's wrong. Most of the time, it's a DNS configuration issue. You need to make sure your SPF and DKIM records are set up correctly in your domain's DNS settings.
The quick checklist:
- Log into your domain registrar (GoDaddy, Namecheap, etc.)
- Find DNS settings
- Look for SPF records - you should see one that includes Smartlead's servers
- Look for DKIM records - Smartlead should have given you a CNAME or TXT record to add
- If either is missing, add it and wait 24 hours for DNS to propagate
- Then restart your campaign
If you're not sure about this part, Smartlead's support can walk you through it, but it's worth doing yourself because it only takes 10 minutes once you know what you're looking at.
Fourth: You Hit Daily or Weekly Send Limits
Smartlead imposes sending limits to protect your reputation. If you set your campaign to send too many emails per day without ramping up gradually, it can trigger a pause.
The safe sending schedule:
- Days 1-2: 20-30 emails per day
- Days 3-5: 40-50 emails per day
- Days 6+: 60-100 emails per day (depending on your domain age and reputation)
If you just imported a 1,000-person list and set it to send 200 emails on day one, Smartlead will pause you. It's a safety mechanism. The fix is to restart with a slower ramp-up schedule.
Fifth: Account-Level Issue (Rare But It Happens)
Sometimes Smartlead flags your entire account if there's unusual activity - like if you suddenly import 10,000 cold emails from a bad list source, or if your account shows patterns that look like spam.

- Clean your email list before importing (remove duplicates, obviously invalid emails)
- Start with a warm-up: send 20-30 emails per day for the first week, then ramp up
- Monitor your stats daily during the first week - check bounce rate and spam complaints
- Use a verified email source for your list (Apollo, Hunter, Clearbit, not random CSV downloads)
- Keep your subject lines and copy conversational - no all-caps, no excessive punctuation
- Make sure your SPF/DKIM are set up correctly before you start
