Your emails aren't landing in inboxes. They're going to spam, or worse - they're disappearing entirely. You're hitting send on campaigns that should be working, and the reply rate is telling you something's broken.

The frustrating part? Deliverability isn't one problem. It's usually three or four problems stacked on top of each other - and they compound. Fix one and you might still be in spam. That's why most people give up.

Here's what actually works to get your emails back into primary inboxes.

Check Your Domain Reputation First

Before you change anything else, you need to know if your domain is already damaged. This is the foundation. If your domain has a bad reputation, nothing else you do will work.

Go to Google Postmaster Tools and plug in your sending domain. Look at these two numbers:

If your spam rate is already high, your domain has been marked as a sender of spam. You need to stop sending immediately and let it cool for 2-4 weeks while you fix the underlying issues.

Also check Barracuda Reputation (barracudacentral.org) and MXToolbox's blacklist checker to see if your IP is actually on spam lists. If it is, you'll need to delist it - usually takes 24-48 hours after removing the cause.

Get Your Authentication Records Right

This is the technical part, but it's not optional. Gmail and Outlook now require proper SPF, DKIM, and DMARC alignment. Without it, your emails simply won't arrive.

SPF (Sender Policy Framework): This tells receiving servers which IP addresses are allowed to send emails from your domain. If you're sending from multiple IPs or through an email platform, you need to include all of them.

Your SPF record should look something like this:

v=spf1 include:sendgrid.net include:lemlist.com ~all

The ~all at the end means "these are the authorized senders, but if you get an email from somewhere else, it's soft fail." If you use -all instead, it's a hard fail and will reject unauthorized senders.

DKIM (DomainKeys Identified Mail): This adds a signature to your emails that proves they came from your domain. Your email sending platform (lemlist, Apollo, SendGrid, etc.) will give you a DKIM record to add to your DNS. Add it exactly as they specify.

DMARC (Domain-based Message Authentication): This tells email providers what to do if an email fails SPF or DKIM. Start with a monitoring policy, not enforcement:

v=DMARC1; p=none; rua=mailto:[email protected]

This tells providers to accept the email but send you a report if something fails. After 2 weeks of clean reports, change p=none to p=quarantine, then to p=reject after another 2 weeks.

If you're unsure about any of this, use MXToolbox's DMARC checker to validate your records are correct. Misconfigured authentication is one of the fastest ways to tank deliverability.

Warm Up Your Sending IP and Domain

New IPs and domains are treated with suspicion by Gmail and Outlook. They monitor your sending patterns - reputation is built gradually, not all at once.

If you're starting fresh, here's the sequence:

The goal is to signal to Gmail and Outlook that you're a legitimate sender with consistent patterns - not a spammer that suddenly showed up and blasted 50,000 emails.

Fix Your List Quality

Even with perfect authentication, a bad list will kill your deliverability. Email providers track bounce rates and spam complaints from your campaigns. High bounce rates tank your sender reputation.

Use Apollo or Hunter.io to validate emails before sending. This catches typos, non-existent domains, and catch-all addresses that will bounce. Aim for a bounce rate below 3% - ideally below 1%.

Also remove these before sending:

If you're using Apollo for cold email, their bounce verification isn't perfect - still run a secondary validation pass with Hunter or use Apollo's built-in filter to exclude likely bounces.

Monitor and React to Spam Complaints

Even one spam complaint can drop your sending from 85% inbox placement to 40% overnight with Gmail. This is because spam complaint rate (even 0.1%) signals to Google that your emails are unwanted.

Every email platform should show you spam complaint rate. If it's above 0.05%, stop sending to your entire list and investigate.

Use Dedicated Sending Infrastructure if You're Scaling

If you're sending more than 10,000 emails per month, shared infrastructure will hurt you. Gmail sees thousands of senders on the same IP, and if one person sends spam, your deliverability suffers too.

Either use a dedicated IP through your email platform (costs $50-100/month) or use a service like SendGrid or AWS SES where you can request a dedicated IP for serious sending. The investment pays for itself quickly when it means 30% better inbox placement.

When You've Fixed Everything and Emails Still Aren't Landing

If you've done all of this - authentication is perfect, domain is warmed up, list is clean, complaint rate is low - and emails are still hitting spam, you probably have one of these problems:

Deliverability is fixable, but it requires addressing all the pieces at once. Ignore authentication and perfect copy won't help. Have a dirty list and a perfect domain won't matter. It's cumulative.
