Your emails are disappearing, and you don't know why
You're sending cold emails at scale. Your list is clean. Your copy converts. But suddenly your reply rate drops 40%. You check your infrastructure - everything looks fine. The problem is invisible to you, and that's exactly the problem.
Microsoft's Smart Network Data Services (SNDS) is where you find out what's actually happening with your emails at Microsoft-owned domains (Outlook, Hotmail, MSN). Most cold email senders have no idea this data exists. They just assume their emails are getting delivered when they're actually getting blocked or throttled.
This guide walks you through SNDS - how to access it, what the numbers actually mean, and what to do when they're bad.
What SNDS actually is (and why you need it)
SNDS is a free reporting system from Microsoft that shows you exactly how your sending IP is performing in their eyes. It tracks four metrics for every IP address you send from:
- Complaint Rate - how many of your emails get marked as spam by recipients
- Trap Hit Rate - how often you're emailing unknown/honeypot addresses
- Authentication - whether your DKIM, SPF, and DMARC are passing
- Volume - total number of emails you sent to Microsoft domains
The critical part: Microsoft uses this data to decide whether to deliver your emails to the inbox or junk folder. If your metrics are bad, your entire IP gets flagged. That's why you suddenly stop getting replies - your emails never hit inboxes.
This is the difference between knowing your deliverability is broken and being able to prove it with data.
How to set up SNDS and access your data
Go to https://postmaster.live.com/snds. You'll need to sign in with a Microsoft account (create one if you don't have one).
Click "Add Sender" and enter the IP address you're sending cold emails from. Microsoft will verify you own that IP by asking you to add a DNS record or respond to an email. This takes 24-48 hours.
Once verified, you'll see your data going back 30 days. The dashboard shows daily metrics - complaint rate, trap hits, and volume for each IP you monitor.
Pro tip: Set up SNDS monitoring before you start sending at scale, not after you have a problem. The earlier you catch issues, the easier they are to fix.
Reading your SNDS data - what the numbers actually mean
Complaint Rate - your most important metric
This is the percentage of emails recipients mark as spam in Outlook. Microsoft's threshold: anything above 0.1% is bad. Anything above 0.3% will get you blocked.
Why it matters: Even if your list is clean and your copy is solid, one thing tanks this number - old data. If you're emailing contacts from a purchased list or historical database, old addresses get reassigned to new people who don't recognize you and immediately spam-flag you.
How to fix it: Clean your email list aggressively. Remove any address that hasn't engaged with your company. Remove contacts older than 18 months. Remove entire lists if they're from third-party sources. Your complaint rate should stay under 0.05%.
Trap Hit Rate - the silent killer
This is how often you're emailing invalid or spam-trap addresses. Microsoft expects this to be under 0.01%. Anything higher means your data quality is garbage.
Why it happens: You're buying lists, scraping emails, or using bad lead sources. Spammers do this constantly, so Microsoft uses trap addresses to identify bad senders. Hit too many traps and your IP gets permanently flagged.
How to fix it: Stop using low-quality lead sources immediately. Use LinkedIn, Apollo, Hunter, Clearbit - actual databases that verify addresses. If you're building lists manually, double-check domains before adding emails. Your trap hit rate should be 0.00% to 0.005%.
Authentication - your foundation
SNDS shows you the percentage of emails passing SPF, DKIM, and DMARC authentication. These should all be above 99%.
If they're not, stop sending. Go fix your email infrastructure setup first. Authentication failures are the fastest way to tank your deliverability and the easiest to fix. You're literally telling Microsoft "I don't control this email" every time one fails.
Red flags in SNDS that mean you need to act now
Complaint rate jumps 0.05% day-to-day: Stop sending immediately. You have a list quality problem or a copy problem. Review your last few campaigns. Which one caused this? Pull that segment out and analyze it.
Trap hit rate shows any spike: You added bad data somewhere. Check your lead source. If you bought a list, stop using that vendor. If you scraped emails, audit your scraping logic.
Authentication dips below 95%: Your SPF, DKIM, or DMARC configuration broke. Most common cause: you added a new sending domain and forgot to set up DNS records. Fix it in your email provider (Mailgun, SendGrid, etc.) and recheck in SNDS the next day.
Volume drops 30%+ but complaint rate spikes: Microsoft is throttling you. They're not hard-blocking, but they're testing you. Slow your sending volume down by half, keep sending high-quality emails only, and wait 5-7 days. Then gradually increase volume again.
The actual workflow: monitoring SNDS properly
Check SNDS data once per week, same day and time. Don't obsess over daily fluctuations - they're noise. Weekly gives you the trend.
Create a simple spreadsheet tracking complaint rate, trap hit rate, and volume week-to-week. When you see a trend, you can trace it back to what changed - new list, new campaign, new sending domain, etc.
When metrics are good (complaint under 0.05%, traps under 0.01%), you have room to scale. When they start creeping up, scale back immediately. The time to fix deliverability is before it becomes a crisis.

What SNDS doesn't tell you (and what you need to do instead)
SNDS only covers Microsoft domains. Gmail, Yahoo, and other providers have their own systems and don't share data like this. You need to monitor those separately - check your bounce rates, unsubscribe rates, and reply rates as proxies for overall deliverability.
SNDS also doesn't tell you why specific emails bounced or why you're not getting replies. It only tells you aggregate performance. Pair SNDS data with detailed campaign metrics to understand what's actually happening.
When SNDS becomes a full-time job
Knowing how to read SNDS and knowing how to actually manage it at scale are two different things. Getting infrastructure right requires setting up multiple IPs, warming them up properly, monitoring multiple domains, troubleshooting authentication issues, and constantly auditing list quality - all while running actual campaigns and following up with leads.
The gap between "I understand SNDS" and "SNDS data is healthy and my emails consistently hit inboxes" is managing every variable that affects it. That's IP management, infrastructure, list sourcing, campaign segmentation, and continuous optimization - all moving together.
