You've built your cold email list. You've written decent copy. You've got your infrastructure set up. But you're still managing everything manually - sending batches, waiting for replies, moving things between spreadsheets.
lemlist has integrations with most major CRMs and tools, but the integration documentation assumes you already know what you're doing. This guide walks you through the actual setup - what to integrate, how to configure it so it doesn't break your workflow, and what automations will actually move deals forward instead of creating busywork.
What lemlist Integrations Actually Do
lemlist integrates with tools in two main ways: pulling data into lemlist, and pushing data out to your other systems. You don't need every integration. You need the ones that actually reduce manual work.
The integrations that matter for most cold email campaigns:
- CRM integration - syncs contacts and deal data so you're not updating two places
- Zapier/Make - triggers actions in other tools based on email events (replies, opens, clicks)
- Google Sheets - pulls contact lists and pushes lead data back
- Calendar - auto-creates meetings when prospects agree to a call
Everything else is nice-to-have. Start with these four.
Setting Up Your CRM Integration (Pipedrive, HubSpot, Salesforce)
The goal here is one-way sync: every contact in your cold email campaign becomes a deal in your CRM, with email activity attached. You're not trying to manage everything from lemlist - you're using lemlist to send and track, then moving qualified leads to your CRM workflow.
In lemlist, go to Settings - Integrations - Your CRM.
Connect your CRM account. lemlist will ask for read/write permissions. Give them.
Now the critical part: configure which fields sync from lemlist to your CRM.
Map these fields minimum:
- First name, last name, email
- Company name
- Campaign name (so you know which cold email campaign this came from)
- Email open count
- Email click count
- Last email date
When contacts reply or click links in your emails, lemlist pushes those signals to your CRM. This gives your sales team context without them having to dig into lemlist.
Real numbers: a typical cold email campaign gets 15-25% open rate and 3-7% click-through rate on the first email. Only pursue replies and multiple clicks - that's your signal someone's actually interested. Most single opens mean nothing.
Google Sheets Integration: The Underrated Workflow
Most people skip this because it seems basic. Don't. This is the fastest way to keep your contact list and campaign data in one place without buying another tool.
Use case: You have a Google Sheet with 500 prospects. You want to import them into lemlist, run a campaign, then sync the results back to the same sheet so you can segment for follow-up emails.
In lemlist, create a campaign and select "Import from Google Sheets" as your contact source.
Authorize lemlist to access your Google Drive. Select the sheet and the tab containing your contacts.
lemlist will map columns automatically - it looks for email, first name, last name, company. If your columns are named something different (like "prospect_email" instead of "email"), you'll manually map them.
After your campaign runs, you can export results back to the same sheet. Add new columns for "Email Opens", "Email Clicks", "Last Activity", and "Reply Status".
Now you've got everything in one sheet: original prospect data plus campaign performance. From there, you can filter for "Reply Status = Replied" and manually follow up with a different message, or use a Zapier workflow to trigger actions.
Zapier Integration: Automating the Actions That Matter
This is where integration actually saves time. Zapier connects lemlist to 6,000+ apps. The automation you want: when someone replies to your email or clicks a specific link, do something automatically.
First, make sure you have Zapier connected in lemlist Settings - Integrations.
Now go to Zapier and create a new Zap. Select lemlist as your trigger.
Two triggers that work:
- Email replied - fires every time someone replies to one of your cold emails
- Email clicked - fires every time someone clicks a link in your email
Pick "Email replied" for now. This is the highest-intent signal.
Now set your action. The most useful: create a calendar event or send a Slack message.
Example Zap: When someone replies to your email, create a Google Calendar event 24 hours from now as a reminder to follow up, and send a Slack notification to whoever owns that prospect.
This sounds small. It saves 15 minutes per day if you're running an active campaign. More importantly, it means you never miss a reply.
Another useful Zap: When someone clicks a specific link (like a "book a call" button), create a new contact in your CRM automatically with "High Intent" tag. Your sales team sees it immediately instead of manually moving it.
Calendar Integration: Auto-Schedule the Meetings
Some prospects will say "yes" to a call in their reply. lemlist can auto-create calendar events if you integrate your calendar.
Go to Settings - Integrations - Calendar, and connect Google Calendar or Outlook.
Now when a prospect replies with language like "I'm free Tuesday at 2pm," you can manually create the event and it syncs. This isn't fully automatic, but it's faster than jumping between email, calendar, and notes.
Practical truth: most prospects won't specify a time in their first reply. They'll say "Yes, let's talk." You still need to use a scheduling link or back-and-forth to nail down the meeting. This integration is useful but not a game-changer.
What Not to Integrate (And Why)
lemlist has integrations with dozens of tools. Don't use all of them. Extra integrations create extra data syncing, which creates sync errors, which creates duplicate records in your CRM.
Skip integrations for:
- Multiple email verification tools - just use lemlist's built-in verification
- Email signature tools - use lemlist's native signature feature
- Every single analytics tool - one good one is enough, pick your CRM or Zapier
Integration setup takes 30 minutes. Debugging failed syncs takes 3 hours. Be conservative.
The Setup You Should Actually Do Right Now
If you're reading this and want to implement today, do this in order:
1. Connect your CRM (or create a free HubSpot account if you don't have one). This is your source of truth.
2. Connect Google Sheets. Import your first campaign contact list, set it to sync results back to the sheet.
3. Create one Zapier Zap: when email is replied, send you a Slack notification. That's it. Get the automation working before adding more.
4. Once that works consistently, add a second Zap: when email is replied, create a CRM deal with "Replied" stage.
5. Add calendar integration last, only if you're booking 5+ calls per week from cold email.
This stack - CRM, Sheets, Zapier, Calendar - covers 95% of what you need. It's configurable without being overwhelming.
The hard part isn't the integration setup. It's getting enough replies to make the automation useful in the first place. If you're getting 0.5% reply rate or lower, integration won't save you - your emails need work first. Focus on personalization, relevance, and clean list hygiene before automating the workflow.
When to Bring in Help
You can set all of this up yourself in a few hours. But there's a gap between "I set this up and it works" and "this is running at scale across 50 campaigns without breaking." The gap is infrastructure stability - making sure syncs don't fail, data stays clean, and your team can actually use it without 10 hours of support.
If you're running more than one active campaign or sending more than 2,000 emails per week, that infrastructure starts mattering. That's where having someone manage the integration setup, monitor sync health, and troubleshoot errors becomes worth the cost instead of something you DIY.
