Your cold email campaign is limping along. You're getting 2-3 replies per 100 emails when you should be getting 8-12. Or maybe your emails aren't landing in inboxes at all. Or people are opening them but nobody's responding.
The problem is you don't know where the breakdown actually is. Is it your list? Your infrastructure? Your copy? Your timing?
This guide walks you through a systematic health check - the same diagnostic process we use when campaigns aren't performing. By the end, you'll know exactly what's broken and what to fix first.
Step 1: Check Your Deliverability First (This Is Non-Negotiable)
Before you analyze reply rates or open rates or anything else, confirm your emails are actually reaching inboxes. If 30% of your emails are landing in spam, your copy doesn't matter.
Here's what to check:
- Send a test batch to yourself. Send 5 emails to your personal Gmail, Yahoo, and Outlook accounts from your sending domain. Do they land in Inbox or Promotions/Spam? This takes 60 seconds and tells you if there's a fundamental deliverability problem.
- Check your SPF, DKIM, and DMARC records. These are the technical foundation of cold email infrastructure. If they're misconfigured, you're getting filtered automatically. Use MXToolbox (free) to audit them - it takes 2 minutes.
- Monitor your bounce rate. If more than 3% of emails are bouncing hard (permanent delivery failures), your list has a quality problem. If it's under 2%, you're fine.
- Check your domain reputation. Go to Google Postmaster Tools and Outlook SNDS if you have a Microsoft account. These show you if major ISPs see your domain as suspicious. If your reputation is
