- It assumes the contract is done (no double-checking, no hesitation)
- It gives them a specific action item (not vague busywork)
- It frames the action as helpful to them (saves time, gets better results)
- It reminds them of the kickoff without making it feel distant
The key detail: the thing you're asking for needs to be real. Not "send me your team's availability" - something that actually makes the kickoff call better. If you're a B2B agency doing cold email work, that might be their current email provider, send volume, or their best customer segment. Make it about momentum, not compliance.
The Follow-Up If They Don't Respond in 48 Hours
Sometimes they ghost. They're busy, they forgot, or the email landed in the wrong place. Send this:

Send this 2-3 days before your kickoff call. It's a logistical confirmation, but it also serves as a final momentum check.

This does two things: it removes any logistical friction (they know exactly where to be), and it primes them for what the call will actually be about. No surprises. No "wait, what are we talking about?"
The mention of "strategic intel we dig up beforehand" also signals that you're already working - that this isn't just a meeting, it's the start of something moving.
If They Miss the Kickoff Call
This happens. Calendars get mixed up. Someone forgets. If they no-show, reach out immediately - same day or within a couple hours.
Keep it simple and slightly more direct than usual:
Subject: Did we miss you on the kickoff call? Hi [Name], We didn't connect on the call today at [TIME]. Want to make sure everything's okay on your end. Let's reschedule for [SUGGEST 2-3 SPECIFIC TIMES]. Which works best? [Your Name]
Don't be passive or apologetic. You had a scheduled call. They didn't show. Assume it's a genuine miss and move forward with new options. This also helps you identify real commitment early - if they're flaking on kickoff, that's a signal.

Most agencies skip all of this. They get the contract, send a generic welcome email, and wait for the kickoff date. Then they're surprised when the prospect is disengaged on day one.
