Using ChatGPT for Cold Email: What Actually Works (And What Doesn't)

BEC Growth·Cold Email and Client Acquisition

You're staring at a blank email, and it's taking forever

You know you need to reach out to prospects. You know cold email works. But sitting down to write 50+ personalized emails from scratch? That's soul-crushing work. So you open ChatGPT, prompt it something like "write a cold email to a marketing agency," and hope for the best.

Then you get crickets.

Here's what's really happening - ChatGPT is great at a lot of things, but generic cold emails aren't one of them. The model doesn't understand your specific business, your prospects' pain points, or what actually converts. It just knows patterns. And the patterns it knows are mostly from marketing blogs and sales templates that have been picked apart a thousand times.

If you're going to use ChatGPT for cold email, you need to know exactly how to use it. Doing it wrong wastes your time and money. Doing it right can actually save you hours.

What ChatGPT is actually good for

Let's be clear - ChatGPT isn't going to write your winning cold email for you. But it can handle specific, narrow tasks that make your writing process faster.

Subject line variations

This is where ChatGPT shines. Give it context - your industry, your prospect's role, the problem you solve - and ask it to generate 20 subject line variations. Then test them. You'll find a few good ones in there. Don't use the first one it spits out. Pick the ones that feel natural to you and your audience.

Opening hooks

Instead of asking it to write your whole email, ask it for 10 different ways to open an email to a specific type of prospect. For example: "Give me 10 opening hooks for an email to a SaaS founder who's struggling with customer retention." You take what resonates and customize it from there. This beats staring at a blank screen for 20 minutes.

Handling objections in follow-ups

If a prospect says "we're not interested right now" or "your price is too high," ChatGPT can help you brainstorm how to respond. Ask it: "What's a good response to someone who says they're not interested but might be later?" You'll get some ideas. Adapt them to sound like you.

Editing and condensing

If you've written an email that's too long, paste it into ChatGPT and ask it to cut it in half while keeping the main point. It works surprisingly well for this.

What ChatGPT is terrible at

Don't ask ChatGPT to write your entire cold email from scratch. Here's why it fails:

It sounds generic. ChatGPT defaults to professional, salesy language. Every email it generates feels like every other cold email your prospects have seen. They delete it without reading.

It doesn't know your prospect. A good cold email references something specific about the person or company - a recent hire, a product launch, something they posted. ChatGPT can't do this. It'll tell you to "mention something specific," but it won't know what.

It doesn't know what converts for you. ChatGPT is trained on patterns from the internet, not on what actually gets replies in your industry. It might generate an email that looks good but completely misses what makes your prospects bite.

It wastes time on iteration. You'll spend 15 minutes prompting it, getting something close but not quite right, reprompting, and then rewriting it anyway. At that point, you could have just written it yourself in 10 minutes.

How to actually use ChatGPT for cold email

Here's the practical workflow that doesn't suck:

Step 1: Do your research first

Find something specific about each prospect - a recent news mention, a job opening, a LinkedIn activity. ChatGPT can't do this, and neither should you skip it. This is what makes an email work.

Step 2: Write your core angle yourself

Know what you're going to say and why. "We help agencies hire better" or "Your current process is leaving money on the table." Write this yourself. It's only a sentence or two.

Step 3: Use ChatGPT for specific parts

Ask it for subject line ideas. Ask for opening hooks. Ask for ways to phrase your CTA. But write the middle section yourself - the part that connects your angle to their specific situation.

Step 4: Edit ruthlessly

If any sentence sounds like it could have come from ChatGPT, rewrite it. Make it sound like you.

Step 5: Test and measure

Send these emails out. Track what works. Don't tweak forever - send and learn.

The honest truth

ChatGPT saves you time on specific tasks, but it's not a replacement for thinking. You still need to know your prospect. You still need a good angle. You still need to write something that doesn't sound like a thousand other cold emails.

If you're using ChatGPT to avoid doing the hard part - actually understanding who you're reaching out to and why they should care - it won't work. The tool is only useful if you're already doing the thinking.

Most people use ChatGPT for cold email because writing a lot of emails is exhausting. That's true. But the real time-sink isn't the writing - it's the research, the strategy, the testing, and the follow-up. ChatGPT doesn't touch any of that.

If you want cold email to actually bring in clients without spending your nights writing variations, you need more than just ChatGPT. You need the strategy, the list, the infrastructure, and the follow-up system. You need someone handling the entire operation so you can focus on closing deals. That's where most agencies get stuck - not because they can't write an email, but because they're trying to do everything themselves.

At BEC Growth, we handle all of it. Research, copywriting, list building, campaign management, reply handling - the whole thing. We've spent the time figuring out what actually works for service businesses and agencies, and we run your campaigns with that knowledge built in. If you're tired of the ChatGPT experiment and want cold email that actually converts, that's what we do.
